Relayfax Frequently Asked Questions

Q.What are the Requirements for RelayFax?
A.There are a few requirements for installing and running the RelayFax Fax Server For Windows:
A Microsoft Windows 95/98/2000 or Windows 2000/NT4 computer system with at least 16 MB memory and a Pentium or better processor. A large hard-disk space is highly preferable for dealing with large volumes of faxes.

The computer on which you install the server does not need to be devoted exclusively to RelayFax. RelayFax does not required a great deal of computer resources therefore you may run it alongside other programs such as your mail server, if you so desire.

Access to a standard SMTP/POP3 mail server. This server does not need to be installed on your LAN. RelayFax's dialup features make it possible to use your ISP's mail server, or any other server that you are allowed to use for collecting and sending email.
One or more fax modems, preferably high quality and class 2.0 compatible. Although RelayFax does support class 1 modems, they are very limited in their capabilities and often prove to be unreliable. If at all possible you should use a class 2.0 modem for optimum performance.

Q.How do I get RelayFax to let go of the port so MDaemon can use it?
A.Immediately before MDaemon attempts a dialup connection, it will create a file called PREDIAL.SEM. At the close of this connection, POSTDIAL.SEM will be created. RelayFax will look for these files before attempting to dial, thus avoiding trying to use the modem when it is already being used by MDaemon. (Note: This feature requires MDaemon 2.7 Service Pack 4 or later.)  Earlier versions of MDaemon do not utilize the PREDIAL/POSTDIAL files. If you are currently having problems sharing a modem with MDaemon, we recommend that you use a dedicated modem for RelayFax. The RelayFax Development Team is aware of inconsistencies with the sharing of a single modem.

Q.How do I hang up the Modem?
A.RelayFax will not hang-up the modem when a busy signal is detected or when a human answers the call. SOLUTION: This is caused by some modems not sending the signal that RelayFax is looking for. There are two workarounds for this: 1. Try adding &F1 to the modem init string. 2. Add X4S7=30 to the modem init string. The X4 part makes sure all responses are reported by the modem and the S7 register contains a carrier detect timeout (in seconds). Setting this to an acceptable value will help RelayFax release the modem quicker when a carrier is not detected.

Q.What is the Phone Book used for?
A.RelayFax contains a Fax Phonebook file that can be used to store company names and fax numbers.

Q.What is the RelayFax Client?
A.RelayFax includes a special utility called the RelayFax SMTP Client. This client can be installed (along with the RelayFax Printer Driver) on each workstation on your LAN, and it can be installed at any remote location as well - as long as the remote location has access to the Internet. Primarily, the client emails the output from the RelayFax Printer Driver to the address monitored by the RelayFax Server.

Q.How do I send a fax with RelayFax?
A.Compose an Email message with any Email client. Place the recipients fax number into the [TO:] field or the [SUBJECT] field.

For example: To: "7312642" <RelayFax@deerfield.com> or Subject: 7312642. You can also use the RelayFax SMTP Client that comes with each version of RelayFax.

Q.How do I receive a fax with RelayFax?
A.Receiving a fax is also easy because RelayFax will detect and enable all of your fax modems when it is started. In addition, you can selectively configure modems that you may wish to use for only inbound fax monitoring. If you do not have any Inbound Rules setup, RelayFax will fold that message into an Email and Email that message to the Default Email address.

Q.What are the Outbound Rules?
A.The Outbound Fax Rules feature, allows you to setup rules that RelayFax will use to determine what to do with E-mail messages or documents that it receives.

Q.Can I create my own Cover Pages?
A.Yes. RelayFax integrates with the Micorsoft Cover Page editor to allow you to edit and create new cover pages. If you do not have Microsoft Cover Page Editor, it is included on Windows 95 and Windows 98 CDs.

Q.Can I schedule when I want RelayFax to pickup the mail to be faxed?
A.Yes. The scheduling system in RelayFax allows you to specify exactly when and how often you want new mail to be collected and waiting outbound mail to be forwarded.

Q.What is the Log Window?
A.The Log Window displays a continually updated and highly detailed log of all Faxing Events and POP and SMTP Sessions occurring within RelayFax. This feature makes it possible to quickly reference any information regarding RelayFax''s recent activities about which you may have questions. It will also alert you to errors and problems that may occur during processing, thus aiding in diagnosing possible problems.

Q.Is there a way to set lengths of the strings in the fax banner?
A.No. It is unlimited in length but only so many characters will appear across the top of each page before you run out of room.

Q.How can I import my accounts from version 1.0 into version 2.0?
A.RelayFax v1.0 uses a different database format to store account information. When you start RelayFax v2.0 you should immediately access the User Accounts Editor (Setup->User Accounts) and select the IMPORT RF 1.0 button to convert your existing user file to the new v2.0 format. Unless you do this, your old account information will not be upgraded to the new version''s format.

Q.Why does RelayFax 2.0 keep giving me the error message, ''''Duplicate message-id detected''''?
A.This is because the email does not have a message-id header field in it.

Q.Can I send an Attachment with RelayFax?
A.Yes. RelayFax Server version 2.0 has the ability to extract attachments and fax them automatically.

Q.Can I use my existing Modems that are in my computer?
A.Yes. There is no need to purchase an additional modem as long as your modem is a fax modem. It is recommended that you have dedicated modems, one for Internet connections and one for RelayFax.

Q.Why do I need Inbound Rules?
A.Inbound Fax Rules are used to tell RelayFax where to post or send incoming faxes.

Q.Does RelayFax send a Confirmation when my fax has been sent?
A.Yes. RelayFax is equipped with the ability to inform users of the status of their outgoing faxes. This message will inform a user when their fax has been successfully delivered.

Q.What is the Fax Window?
A.RelayFax''s Fax Window displays detailed information on inbound and outbound faxes that are processed. The sender and recipient of the fax is listed, as well as the time and date of the fax, the fax device''s ID, and a number of other facts. This window also displays the status of each fax: Pending, Sending, Received, or Sent.

Q.Why won't attachments fax when I use RelayFax?
A.RelayFax v2.0 includes a powerful attachment faxing capability wherein attachments within email message can be extracted and faxed automatically. This feature is disabled by default. Please read the section on Attachment Faxing in the Relnotes.txt file and RelayFax.Doc file carefully before enabling this new feature.

Q.What is the optimal setting for a US Robotics Modem 33600 Sportster?
A.The string we found to work best is:

AT&FX4E0V1&C1&D2S0=0S10=30S19=1S21=50

Q.Why doesn''t the Macro''s RECIPIENTNUMBER or RECIPIENTNAME work anymore?
A.These two macros have been replaced by FAXNUMBER

FAXNUMBER: Parms
This macro specifies the one fax recipient.
‘Parms’ can specify a fax number only or a fax number + recipient name + recipient company name.
Ex:
FAXNUMBER: 555-1212
FAXNUMBER: 555-1212, Stoshu Pendowski, Deefield com
FAXNUMBER: 555-1212, “Pendowski, Stoshu”, “Deefield com.”

Q.What is the Imaging tab used for in RelayFax?
A.The Image tab of the RelayFax Properties dialog is used for configuring several settings governing RelayFax’s handling of fax images, such as: whether images will be stored after they have been sent, whether to use enhanced resolution when creating them, and the image format that will be used when emailing faxes to your users.

Q.Can I change the Fax images that I receive to a different format?
A.Yes. If you want the file attachments to have an extension other than the given format’s default setting, specify that extension under Setup|Server properties|Imaging tab “Always Create Fax images With This Extension xxx”

Q.Sometimes my modem seems to go idle and not move on to send the next pending fax - especially in multi-modem configurations and usually after receiving a busy signal or no answer on the previous call. Why?
A.Cause: The modem is not being reset properly between calls.

Look in the Windows System directory for a file called FM3032.INI and load it into a text editor. This file lists ports for every modem installed for use with RelayFax. Each section has a line that reads:

Reset=ATZ
(the "ATZ" part might vary or the entire line might actually be missing)

This line should be present and should read:

Reset=AT
(note that the correct way is "AT" and not "ATZ").

Q.Can I choose what format the incoming faxes are in?
A.Yes. The Image tab of the RelayFax Properties dialog is used for configuring several settings governing RelayFax’s handling of fax images, such as: whether images will be stored after they have been sent, whether to use enhanced resolution when creating them, and the image format that will be used when emailing faxes to your users.

Q.Can I specify the size the incoming fax will be viewed in?
A.Yes. You can specify a percentage in the Scale Image To xx Percent Actual Size section of the imaging tab. You may specify any value from 10% to 200%.

Q.Will RelayFax integrate with WorldClient Pro or WorldClient Standard?
A.If you are running WorldClient 2.2.0.0 and MDaemon 3.1 or newer both WorldClient Standard and WorldClient Pro will integrate with RelayFax.

Q.I want to print specific outbound faxes instead of printing all outbound faxes?
A.RelayFax 2.3.0.0 has a new option in the Outbound Fax Rules to allow you to print faxes which meet specific criteria. This can be setup by going to Setup / Outbound Fax Rules.

Q.I am using Exchange as my mail server and when I send a fax using Outlook, RelayFax reports that it could not find a fax number?
A.When using the format "5551234" <relayfax@company.mail> in the To field from Outlook, Exchange Server would resolve the address to the friendly name stored in the Global Address List. Thus it dropped the fax number, replacing it with RelayFax. The RelayFax server grabbed the Email and tried to fax it but this failed, as there was no fax number.

To resolve the issue, remove the RelayFax account from the Exchange address list (inside Exchange server, go to recipients, RelayFax, advanced and check "hide from address book"). This way, exchange would not change the friendly name that Outlook addressed the fax too and RelayFax server could correctly send the fax.

Q.How can I get RelayFax to not wait for a dial tone when sending out faxes?
A.This can be done by modifying the initialization string that is used for your modem. The initialization string can be modified by expanding the fax devices section and double clicking on your modem.

For information on the correct initialization string you should contact your modem manufacturer or go to www.modemhelp.com.

Q.How can I receive a simple fax report from RelayFax via Email, instead of receiving a comma-delimited file that I do not understand?
A.RelayFax has a new feature that will export a summarized log file from and Email it to you. This is setup by going to Setup / Automatic Fax Exporting.
